The Background  to the Nottinghamshire Environmental Association 'Data Protection Policy lies in the 'General Data Protection Regulations (GDPR)' adopted by the European Union (EU) in 2018.  These Regulations apply to all Data (information) held by an organisation on individuals.  It is designed to prevent misuse of that Data.

The Data Protection Policy was approved by Members at the AGM held in February 2025. The main points of this Policy are:
i.     The Data the Association gathers and holds on individual Members is - 
       Postal Address; Mobile Phone Number (where there is one); Email Address; Landline                 Number (where there is one).​
       (In addition, for longer term visits, we may need to gather Date of Birth and Food                    Allergy Information.)​
ii.     Why we collect the Data.
        All contact information is used solely for contacting Members with regard to                           Association business.  Our preferred method of contact is by Email, but we do                         occasionally use Text Messaging if an issue is very time urgent.
iii.    The Association will never pass on personal Data to other Members or third                    parties.  If we need to pass on some information (eg to a venue or hotel where we are           required to register when visiting) then Members will be informed and their permission          requested.
iv.     If a Member leaves the Association then all personal Data is removed from our                       Database.
v.      All Members receive a printed copy of their information as held by the Association, are          asked to sign to say this is correct and to allow the Association to hold and use it as                long as they are Members of the Association.
vii.   A  Member may request a copy of their Personal Data at any time.  This information will         be provided within 14 days of receiving such a request.
